Privacy Policy

We collect account information such as your name, email address, brokerage details, phone number, login information, email branding, and subscription status. We also process the transaction information you choose to enter, including property details, dates, tasks, contacts, notes, documents, and client email addresses.

We collect limited technical and usage information needed to operate, secure, troubleshoot, and understand use of the service, including device, browser, network, sign-in, and feature-event information.

We use information to provide and secure TransactTHAT, maintain your account, organize your transactions, deliver client emails you configure, manage subscriptions, enforce transaction credits, provide support, improve reliability, and comply with legal obligations.

Our legal bases for processing are: performance of our contract with you (providing the service, your account, and your subscription); our legitimate interests (securing, troubleshooting, and improving the service, and preventing fraud); your consent where required (for example, optional communications); and compliance with legal obligations (records, tax, and lawful requests).

TransactTHAT does not sell your personal information. We do not use transaction or client information to advertise to your clients.

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. When you purchase a subscription, Paddle collects and processes your payment and billing information (such as payment card details and billing address) to complete the sale, manage subscription billing, handle tax compliance and invoicing, and process refunds. Paddle provides all customer service inquiries related to orders and handles returns. We receive only the information needed to confirm and manage your subscription, not your full payment card details.

You are responsible for having a lawful basis to enter client and professional-contact information and to send messages through TransactTHAT. Automated and agent-triggered emails are sent to the recipient selected for that transaction. Your configured address may be used as the reply-to address.

When you choose Analyze with AI, the documents you select are securely transmitted to our AI infrastructure provider solely to read those documents and extract transaction information for your review. AI results are suggestions only; no extracted date, amount, name, or other contract term changes your transaction unless you review and approve it.

Our AI gateway provider states that app end-user data is not used to train its models. Operational request summaries, such as the time, model, status, and cost of an AI request, may be retained for security, billing, troubleshooting, and abuse prevention. Optional full-content debugging logs, when enabled, may retain redacted AI request and response details for up to 90 days; when disabled, future full request and response content is not retained in those logs. Previously captured details remain subject to the retention period that applied when they were captured.

We use trusted providers for hosting, authentication, data storage, payment processing (Paddle, as described above), email delivery, monitoring, and other infrastructure. They may process information only as needed to provide their services to us and subject to their own legal obligations. We may also share information with professional advisers and with authorities where required by law.

On our public website we use the Meta Pixel, provided by Meta Platforms, Inc., to measure how our Facebook and Instagram ads perform and to help Meta show our ads to people likely to be interested. The Pixel uses cookies and may collect your browser and device information, IP address, the pages you visit on our marketing site, and whether you completed account registration or started a free trial. We do not send your name, email address, phone number, transaction or client information, documents, or payment information to Meta. Meta processes this information under its own privacy policy.

Visitors in the European Economic Area, the United Kingdom, and Switzerland are asked for permission first, and the Pixel does not load unless they accept. Everyone can accept, decline, or withdraw permission at any time using the "Cookie settings" link in our website footer; withdrawing stops further tracking immediately. The Pixel is not used inside our iOS or Android apps.

We use reasonable administrative and technical safeguards, including account-scoped access controls and private document storage. No internet service can guarantee absolute security. We retain information while your account is active and as reasonably needed for service delivery, records, disputes, legal compliance, and fraud prevention. When information is no longer needed, it is deleted or anonymised.

You may update account and email settings in the app, manage your subscription through Billing, and request access, correction, or deletion of personal information where applicable. Where required by law, you may also have rights to restrict or object to processing, to data portability, and to withdraw consent. Some records may be retained when legally required or needed for legitimate business purposes.

TransactTHAT is intended for real estate professionals and not for children under 13. The service is operated from the United States, and information may be processed in the United States.

We may update this policy as the service or law changes. Material updates will be reflected by the date above or communicated through the service when appropriate.
